ACCIDENT.  INJURY.  CLAIM.  COMPENSATION.

Before we start working with you, Outstaffing must ensure that appropriate Workers’ Compensation coverage is in place for your employees (owner/officer optional). If you have an existing policy, we will initially try to obtain an endorsement recognizing Outstaffing as the PEO and administrator of your policy. However, if a new policy is required, Outstaffing will manage the  application process, working with our experienced WC broker.

When finalized, Outstaffing will handle all aspects of policy administration — billing, audits, and renewals — and provide necessary support should a claim arise. 

Application Process
If a new application is required, you will need to complete the following:

  • Current carrier Notification and Endorsement Request -- Please complete the Request to Endorse WC Policy and return to us with a copy of your current WC Declaration Page. Please call with any questions.
  • Workers’ Compensation Supplemental Application:  Please complete sections 1B, 9B and 10B. Outstaffing will complete the other questions for you. Then email/fax it back to us as soon as possible. On receipt, our broker will prepare the necessary application paperwork, which we will forward to you for your signature. Please call with any questions.
  • Include/exclude owners from coverage [Rejection of Coverage]; these options will be explained later as they vary by state depending on your business entity status (Inc, LLC, Sole Prop, etc.). 

We will contact you about any other paperwork that may be requested as the policy progresses through the assignment and underwriting process. The policy will be issued based on estimated payroll and requested WC code classifications. Typically, an initial audit will be performed soon after the policy is issued and a final annual audit will occur near renewal. 

Policy Administration

Payments

Outstaffing will be designated as the administrator of your WC policy. We only collect and pay actual premiums as directed by the carrier. When due, premiums will be paid by Outstaffing and invoiced to you as incurred. Premiums may reflect estimated payroll changes detected by the carrier in the current-policy-year audit.

Annual Policy Audit

After renewal or expiration, the policy will be audited by the carrier at the Outstaffing office. At that time, actual payroll numbers will be used to reconcile the estimated figures given for the prior policy year. On completion, any premium adjustments (under/over payments) will be settled through a reconciliation invoice or refund check.

Policy Documents

Outstaffing is in receipt of all WC policy documents and keeps detailed records in your client files. Should you want copies of any of the paperwork, please contact the office and we will send it to you. Upon policy issuance or renewal, we will forward you a copy for your records, along with any important endorsements to the policy.

Policy Termination

Should you decide to terminate your relationship with Outstaffing, please complete the Policy Termination form and return immediately to Outstaffing.  As the WC policy owner, you must complete this form; however  we will process the termination for you upon receipt.
